Glen Region Board of Directors Meeting

April 24, 2003

Call to Order: 7:10 PM


Present: Barb Luther – RE, Tim Meddaugh – Past RE, Bob Burns – Asst. RE, Roxanne Brown – Treasurer, Lin Hurd – Secretary, Rob Craig – Activities Director, Bill Schultz – Director, Ed Hurd – Director, Ed Zebrowski – Director.


Absent: Sandy Nolan – Director


Guests: Bill Bradshaw, Ray Oliver, Bob Brown


Minutes: Motion by Ed Hurd to approve the March 20, 2003 BoD minutes, seconded by Bill Schultz and carried.


Treasurers Report: Roxie reported that the QuickBooks computer program and she is unable to do any printing, check writing, etc. She transferred $20,000.00 on 4/24/03 for the following distributions:

$10.000.00 – current bills

$ 3,000.00 – per event WGI track deposit

A motion was made by Lin Hurd to approve an expenditure of up to $300.00 for the purchase of a new financial computer program if it is needed. Motion was seconded by Tim Meddaugh


Activities Report: Nothing new to report.


New Business:

  1. Ray Oliver requested the following change to the tech sheet: helmet specifications to change from SA85 to SA95 or newer.
  2. Ray also thanked the region for the purchase of the new tech equipment and reported that there were 10 cars at Tech Day.
  3. Tim Meddaugh made a motion for approval for the dates of 9/27/03 and 9/28/03 for the Mini Con in Williamsport. The motion was seconded by Ed Hurd and carried.
  4. Barb Luther read a letter from WGI regarding the construction on roads leading to the track and water and sewer installation at WGI resulting in muddy conditions – use caution!


By-laws: The remainder of the meeting was spent discussing proposed changes to the Region By-law, led in discussion by Bill Bradshaw. All proposed changes will be reviewed by Bob Basso – Glen Region attorney. The changes will be voted on, by the membership, at the Annual Meeting in November, 2003.



Please note the following proposed change:


General Meetings: Article III, Section 10:

            General meetings may be held on a monthly basis at such time and location as       designated by the Regional Executive. Notice of such meetings will be published            in the Club’s calendar of events and its Officers are expected, where possible, to   attend these meetings which will be conducted by the Regional Executive or a             designee. All Club members are encouraged to attend these meetings for the          purpose of liaison with the Board of Directors and Officers. No quorum is          required at these meetings. Members may take advisory votes on various items of     general interest to the membership, by voice vote or show of hands, but such         advisory voting shall not be binding on the Regional Executive or Officers. The        Officers and Committee Chairpersons may give informal reports, as they see fit,      as to the Club’s operations, and may informally poll the members present            concerning any matter of the Club’s business to determine the sense of the body;   but no such poll or vote shall be binding on the Board of Directors or Officers. Minutes of such meetings shall be taken.
